About This Policy

This policy explains what information Total Health Systems ("we" or "us") collects through totalhealthsystems.com and its related pages, including go.totalhealthsystems.com and links.totalhealthsystems.com, how we use it, and who we share it with.

Your Health Information

We are a healthcare provider. Health information we receive about you, including what you send us through this website to request an appointment, verify insurance, or request records, is also protected by HIPAA. Our Notice of Privacy Practices describes how we may use and disclose that information and your rights under HIPAA. You can request a copy at any of our offices or by contacting us.

Please do not use our website forms or chat for emergencies. If you have a medical emergency, call 911.

Information You Give Us

• Forms: when you contact us, request an appointment, claim an offer, sign up for text reminders, verify insurance, or request records, we collect what you enter, such as your name, phone number, email address, preferred location, insurance details, and the reason for your visit. Each submission also notes which form you used and, on offer pages, the offer you chose. Nothing about how you found our website is added to it.
• Chat: if you turn on the chat assistant, the messages you type into it. See "The Chat Assistant" below.
• Payments: on our payment and gift certificate pages, you type your card details directly into a secure form provided by Stripe, which processes the payment. Your card number goes to Stripe; we do not receive or store it. We keep a record of the payment with the name, contact details, amount, and account or gift certificate details you entered.

Information Collected Automatically

This website does not use analytics, advertising pixels, session recording, or other tracking tools, and it does not keep a record of the pages you view or how you found us.

Our website is hosted by Cloudflare. To deliver pages to you and protect the site from attacks, Cloudflare necessarily processes your IP address and the basic information your browser sends with each request, such as your browser type.

The site stores a few small items in your browser so it can work: your answer to the chat assistant question, and a temporary note, cleared when you close the tab, that helps a page recover if it fails to load after we update the site. If you turn on the chat assistant, it may also store information in your browser, such as whether you have opened it. Stripe's payment form may set its own cookies on the payment and gift certificate pages to help prevent fraud. The site also deletes identifiers that our former website analytics stored in your browser on earlier visits.

The Chat Assistant

The chat assistant is optional. It does not load until you click the chat button in the corner of the page and choose Start chat. If you choose Not now, it stays off, and the rest of the site and its forms work the same.

The assistant is run for us by Sapt. Its answers are generated by artificial intelligence, so they can be wrong, and they are not medical advice. Please don't type health details into the chat, such as symptoms, conditions, medications, or insurance numbers. To ask about your care, call us or use one of our forms.

Who We Share Your Information With

We share information from this website only with service providers that work for us:

• Sapt, which operates this website, the chat assistant, and the system that receives your form submissions and that we use to follow up with you, on our behalf. Sapt uses its own service providers to run these services.
• Cloudflare, which hosts this website.
• Stripe, which processes card payments.

We do not sell your information. We do not use analytics, advertising pixels (such as the Meta Pixel), session recording, or Google Analytics on this website, and we do not share information from this website with advertising platforms.

Embedded Content

Some pages load content from other companies. When that content loads, your browser connects to them, and their privacy policies apply:

• Videos from YouTube, which load only when you press play. They play in YouTube's privacy-enhanced mode.
• Product images from Amazon on our shop page and on staff pages that recommend products.
• Stripe's payment form on our payment and gift certificate pages.

Links to other websites, such as product links to Amazon or Fullscript and our job board on Paycom, take you to sites that have their own privacy policies.

How We Contact You

We use the phone number and email address you give us to respond to your request and follow up about scheduling. You can ask us to stop contacting you at any time.

We send text messages only to people who agree to receive them:

• Offer texts: if you agree to text messages when you claim an offer, we text you about booking your visit.
• Appointment and recall reminders: if you sign up on our text reminders page, we text you reminders about upcoming appointments, recall reminders when it has been a while since your last visit, and replies to your scheduling questions.

Message frequency varies, and message and data rates may apply. Reply STOP to opt out or HELP for help. Agreeing to texts is not a condition of care. See our Terms of Service for the text messaging terms.

We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your Personal Data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages. Text messaging originator opt-in data and consent will not be shared with any third parties for their marketing purposes.

How Long We Keep Information

We keep information for as long as we need it for the purposes described in this policy, or longer when the law requires it, such as medical-records retention rules.

Your Choices

You can turn the chat assistant on or off at any time with Cookie Settings at the bottom of our pages. You can also block or delete cookies and site data in your browser settings. To request a copy of the information we hold about you from this website, or to ask us to correct or delete it, contact us. We may need to keep some information, such as medical records, to meet legal obligations.

Changes to This Policy

When we change this policy, we will post the new version here and update the date at the top.
